Minutes of Meeting

  • Apologies:   Nil
  • Previous Minutes:   Read and approved. An amendment to be made, insertion of word ‘Qualified’ before sign ups in the paragraph regarding free shirts on the upcoming Vets run.

    It was agreed that this year’s give away would be a shirt sponsored to the tune of 10,000 baht by WKW, (any other cost to be borne by PH3) and would be available to all qualified sign ups on the day.

    Discussion about Hoodies for rags deferred till international borders are reopened.
  • Bookie Report:   Liberace reported an operating loss of 22k this month, mostly due to exceptional costs (office supplies for Lib and WKW) and reduced income, however we are still showing a small profit for the year so far. Average sign up for the month was 54, which is lower than usual and below the number we need to break even. Liberace urged us as a club to exercise caution with our finances in the coming months.
  • Webmaster Report:   WKW arrived just as the meeting was nearing its end and delivered no report this month.
  • Brew Master Report:   Small maintenance issues for the truck, nothing else of note reported by VV
  • Hare Raiser Report:   2 dates remain free in September and October has just been opened to the hareline. Confirmation will be sought for a proposed Harriette’s run in October.
  • Rags Report:   Business is understandably quiet at the moment. No new stock will be ordered this month.
  • On-on Bars Report:   No issues. We have resumed our 3 bar rota till further notice.
  • Special Runs:
    • The Vets run in September will feature a free shirt and free runs for all those who attend and qualify by virtue of having attended 50% of the calendar years runs (19 this year). No extra shirts for rags will be ordered.
    • Decisions on Octoberfest and Halloween runs will be deferred till next month when there may be more info on tourists being permitted entry into the Kingdom.
  • Other Business:
    • TW - referred to the subject of Hares Free runs and credits that was brought to the table last month. He produced a framework for discussion which was subsequently voted on and carried unanimously. See below.
      ‘’Standard Run - This is a run where the Hares do not provide food, shirts or any significant sponsorship (including themed runs which do not appear as Special runs on our calendar). 2 Free runs/4 hare credits. If hares choose to provide some form of significant sponsorship on such a run, they should inform the committee in advance for consideration to be given to extra runs/credits.
      Special Run – as per PH3 Calendar. As above, unless Hares provide sponsorship in the way of food (not extra snacks) and/or shirt or similar run memento in which case 4 Free runs / 6 hare credits.
      Any other exceptional cases, such as Octoberfest/Aussie day run where sponsorship by the hares is significantly in excess of normal, to be considered on its own individual merits by the committee before the run but with an absolute maximum of 8 Free runs and 8 credits.
      I think it is necessary for us to put a cap on free runs and credits to prevent the current trend of exceptionally high numbers of hares on runs, and to clarify the club’s position to reduce disagreement on the subject. However, we need to strike a balance where we do not discourage hares from volunteering and those that do are appropriately recognised. Whilst hares occasionally provide some free drinks and or extra snacks this in itself does not warrant extra free runs or credits, in my opinion.
      The GM retains the right to award a free run in exceptional circumstances.’’
    • Na Hee Man enquired whether or not we would be restocking rags with shorts as before. Advised that shorts were removed from the inventory due to very low sales.
    • VV reminded us that next week we will return to down downs in the circle, but with single use disposable cups. Members should be alerted to the option of using personal drinking vessels.
    • Dirt Looney volunteered and will start to produce a guide to laying a trail for hares and a guide to our checks for everyone. He also suggested that we could resume taking photos in the circle for publication on the website. He will deselect photos that may be considered to compromise us in terms of social distancing.
    • WKW apologised for his late arrival and requested, and was given, authority to buy a new hard drive for the dedicated PH3 computer that he works on.
    • Liberace expressed some concerns regarding the sharing of duties between WKW and DL. It was explained that there had been some difficulties but these had been resolved.
    • Arse Bandit made a request for the PJH3 to regularly hire our beer truck. Advised that the committee would consider the request and make a decision at the next meeting.
    • All present were thanked for their contributions.
  • New Business:
    • No New Business
