Minutes Of Last Meeting: Read and approved. No matters arising.
Bookie Report: PS presented a report for the last month and explained that it was a cash flow summary rather than an actual account. Raffle and Rags continue to thrive and provide income for the club when we are operating normally. The last run showed a healthy cash surplus.
Despite the lengthy periods of inactivity for the club over the previous year, when income was limited but costs for maintenance of beer truck were still present, the club’s finances remain steady. PS suggested thought be given to establishing a minimum balance in the bank which could act as a trigger to review spending policies.
Webmaster Report: PS reported that the Website is fully operational and in good shape with no issues to report. There was a discussion regarding the granting of membership status and whether it should automatically be given to virgins. After a brief discussion it was decided that the matter to be reviewed and resolved at the next meeting.
Brew Master Report: VV reported that the beer truck is OK, no outstanding repairs or bills due. Heavy beer consumption on the last run will result in a larger than average beer bill next week. VV also queried the whereabouts of some hash equipment, namely tables and a gazebo – it was established that various committee members have safe custody of the said items.
Hare Raiser Report: SP told us that the hare line was in good shape with only a couple of spare runs not yet filled. We were also advised that our lead baht bus driver, Sip Baht, will be co-haring a run in the near future.
Rags Report: Antique reported that sales are surprisingly high, though he would like a wider range of shirt designs. An earlier request for design ideas from the general membership proved fruitless.
A discussion on the cost of Rags ensued with many points of view expressed that our shirts are too expensive with too high a profit margin. This was considered especially unjustified for virgins whom we expect to purchase shirts. It was also added that other hashes offer their shirts up to 100b less than us. It was pointed out the cost from our current supplier was higher than the other previously used suppliers, but the change of supplier had been prompted by quality and reliability issues previously encountered. The committee agreed to review this situation and make a decision at the next meeting.
Antique suggested the idea of sewing patches on to shirts hats etc to personalise them in respect of PH3, but this has been unsuccessfully trialled before.
It was also reiterated that when shirts from a themed run are offered to pre-order by members the maximum number purchased for rags should be 5. This was not adhered to strictly in the last year and consequently rags now has a stock of themed run shirts from that period which are now difficult to sell.
On-on Bars Report: SP reported that there had been a disagreement between bar staff and a hasher (visitor, not member) at Hustler’s the last time we were there, probably precipitated by restrictions still being imposed due to Covid. Although settled now, we were reminded to treat staff in our On On bars with the appropriate level of respect. Otherwise, all is well. Numbers fluctuate weekly and no further consideration was given to adopting a 4th On On bar at this time.
Upcoming Special Runs:
• Valentine’s Day Run, 14 Feb – confirmation of hares required, SP and Casper to procure 30 roses for distribution to female hashers on the day.
• Belgian Run, 28th Feb – hares will sponsor food, all 5 hares to run free and 5 credits awarded. Instead of a themed shirt the hares will offer themed shorts to mark the occasion (design approved), cost yet to be determined.
Other Business:
• ELECTION OF COMMITTEE FOR 2022: following the proposal put forward at the last meeting the new committee was approved. Notable changes included the promotion of Hash Cash to the Executive Committee and the creation of a new post, Virgin Stimulator, in place of one RA. See attached document for full details of the new committee.
The lengthy terms of office served by Liberace and No More Cum for whom protracted absences from Thailand have led to them standing down this year was recognised and roundly appreciated by all.
• Mr Bean volunteered his services as a potential Master of Music. It was noted that this role previously existed but due to lack of input or need for the role, it had been dropped. Mr. Bean will furnish the committee with his ideas for the role (which initially seem to revolve around more interactive sings in the circle) and the committee will decide at the next meeting.
• VV told us that the Flemish Run has been tentatively been rescheduled for July, but he didn’t anticipate being involved as a hare.
• TW – as a result of suggestions from members a discussion regarding the current rule of only taking one opened beer from the beer truck should be reviewed. It was agreed to a trial period of two opened drinks being permitted to be taken from the beer truck. This would only be effective during the circle -NOT before the GM calls the circle to order. This was considered to be beneficial in reducing the number of visits to the beer truck throughout the circle and adding to the overall social aspect of the circle. This will be closely monitored by the beer police who will report back at the next meeting. Notwithstanding some early confusion, abuse of this new condition will result in it being curtailed.
• TW thanked everyone for their attendance and contribution, especially the committee, who’s relentless efforts ensure that PH3 continues to thrive.
