Minutes Of Last Meeting: Read and approved. Ref individual shirt orders, to be organised through Rags.
Bookie Report: As expected we took a bit of a financial hit of approx. 11,000 baht on the Vets Run, in addition VV has replaced 2 tyres and the wipers on the truck, but we are in good shape overall, no concerns.
Webmaster Report: It was noted that last month’s meeting minutes (August) had not been published, but in every other respect the website is in great shape due to the work of our IT team. PS has added an extra page to the run reports which will feature original hares’ songs.
Brew Master Report: VV reported that all necessary repairs had been carried out to the truck and there are no current concerns, but it is needing an increasing number of repairs as it gets older. The insurance is due before the end of next month. Due to last weeks high number of sign ups we should expect a higher than usual bill for drinks.
Hare Raiser Report: Hare line is in good shape, with September and October full, November has just opened but has no hares as of yet. Currently 2 virgin hares only for Sept. 19th – assistance will be sought.
Rags Report: Sales are steady but there remains reasonable stock levels. Raincoats and umbrellas have been popular due to rain every week; however, the raincoats are of extremely poor quality, alternatives should be sought. SFTG is returning to New Zealand in 2 weeks, everyone thanked her for her considerable efforts looking after Rags whilst Antique has been away.
On-on Bars Report: After 4 successful visits, June’s Cocktail Bar was unanimously voted on as a new On On bar. Everything else in good order.
Upcoming Special Runs: No special runs before the next meeting. However, we have a themed run next week to celebrate SS birthday. Food will be provided and a shirt produced for the occasion.
Other Business:
• Banking- further unsuccessful attempts were made to change signatories on the savings account, now the bank insists on all 3 signatories, rather than 2 as previously believed, need to be present, as the account needs to be closed and a new one opened. We will try again. It was agreed that there was no need to keep the other, ATM account open, as it was rarely used. PROPOSAL; 2 independent committee members to audit the cash at least 3 times a year at irregular intervals – carried unanimously. Crap Thai advised looking at more user-friendly banks.
• Awards: in the continuing absence of Unstable Load we need to act to catch up on anniversary shirts etc. TW will establish a list of those outstanding and determine size requirements etc, after which VV will take care of procuring the shirts (EDIT: after consulting with Pattaya print Space there are no current orders being processed or awaiting collection). We hope that UL is able to resume hashing asap.
• Hare Credits: VV asked why not all 7 hares on the Betty Boop Run (in June) had not received hare credits, (there had been no food or sponsorship); he was advised that all hares received a free run and were all given credits as goodwill gesture for efforts throughout the year.
• 2000th run: A loose 4-day itinerary has been prepared by the subcommittee which met with approval but requires some more detail before we can publish our plans. The sub committee will convene again soon for further discussions.
