PH3 Mismanagement Meeting Minutes

Minutes Of Last Meeting: Read and approved. No matters arising.

Bookie Report: The balance of cash and assets remains strong thanks in part to continuing excellent results from both Rags and Raffle. Sign-ups have been consistently in excess of 100, but beer consumption remains proportionate. Obstacles have been encountered in trying to open a new account with new signatories, but the effort to do so will continue.

Webmaster Report: As usual, the website is in excellent order, and in particular the registration page for 2000th run has been working perfectly.

Brew Master Report: There have been some small routine repairs done to the beer truck and the vehicle inspection is due this month. No concerns at this time though.

Hare Raiser Report: The May hareline is now open and all 5 runs are available, including the first two runs in April. No immediate concerns.

Rags Report: Rags continues to experience high sales with a fast turnover of new shirts, and the ‘beer hunter’s shirt’ sold all 35 pieces in the first week. Stock levels are good, so no immediate need for more at this time. Something Stupid was acknowledged for his great efforts in managing Rags, and Burley Chassis for her steady supply of fantastic new designs.

On-on Bars Report: Attendances remain high and there are no real issues other than some confusion in Hustlers regarding the sale of Buckets of beer – TW will consult with the owner to rectify this small problem.

Upcoming Special Runs:
• St. Patricks Day run – a request to add another hare – forwarded to the hare raiser. Songkran Run – in anticipation of a request, 6 hare credits and 4 free runs agreed as hares are providing food. St. Georges Day run – no special requests or info at this time.
• It was mentioned that the full calendar of special runs does not appear on the website, this to be rectified asap. (Edit: it appears that the 2023 run calendar was omitted from the agenda on December 2022 meeting where it should have been ratified, apologies TW)

Other Business:
• 2000th Run update: Items for the goody bags have been procured, just awaiting delivery of the actual drawstring bags. DL will arrange a meeting with officials from Burapa MC in view of securing permission to stage the 200th run on their land. There appears to be plenty of volunteers to hare 3 separate trails for the Monday run, TW and YMCA will lay trail for the Red Dress Run, which will use High Rollers as it’s base. The intended venue for Sundays run on the Darkside is no longer an option so a new venue will be sought, ideally with a pool, but there may be difficulties in finding such a venue that can also cater for up to 150 visitors – contingencies including utilising our beer truck to sell beers to be considered. Extra facilities such as eskies and tables may be borrowed from the Monkey Hash if required. Extra block ice for Monday to be ordered locally and delivered to site, and plans for up to 3 beer trucks to be considered. We have reached the maximun sign-ups for the weekend and there are several names on the waitlist, however we have imposed no maximum of attendees for Monday and anticipate up to 250 hashers on the day. TW proposed a new design of commemorative shirt to be presented to the committee, sub committee and key helpers – the design of the shirt and distribution was approved unanimously.
• AOB – VV informed us that he would need to return to Belgium for a few weeks in May /June so a replacement driver for the truck is required. In addition, due to his absence The Betty Boop run should be rescheduled for later in the year. VV requested consideration for a change of On On bar for run 1986 – from Hustler’s to Monta Burger Bar in Jomtien – to be discussed with the On On bar coordinator before the next run.
• TW – reminded everyone that on any occasion the PH3 logo is required for use on shirts etc, approval must be sought from the committee in advance. On the basis of some negative feedback TW explained the need for a structured decision-making process for the club. The committee is responsible for making decisions rather than any individual(s) – this protects the integrity of the process and prevents inappropriate actions by any individual(s). It was noted from the floor that the majority of our policies and protocols have been in place for a long time but are now more adhered to.
