PH3 Mismanagement Meeting Minutes

Minutes Of Last Meeting: Read and approved. No matters arising.

Bookie Report: Cash and assets rose by approximately 11,000 baht over the last reporting period, though the coming months will see some extraordinary expenses, but the club’s finances remain healthy. No questions were put forward to PS.

Webmaster Report: The web team continues to upgrade and improve our already impressive website. This month saw the addition of a new pages with all previously used A sites and the automation of the Hash sheet production process. Great work from PS and DL.

Brew Master Report: In the absence of VV, DL has taken over responsibility and reported everything in good shape, with plenty of stock and the truck in good working order. Many thanks to DL for volunteering to take over the role of beer master and to Two Time for her continuing support and efforts.

Hare Raiser Report: Condition Red, hares needed urgently for May 27th and many subsequent dates. There was a discussion on whether the burden put upon hares (serving beers in the circle etc) was too great, but the most common reason for not haring is lack of experience and lack of transport. We will endeavour to address these common problems in the coming weeks.

Rags Report: A written report was submitted by SS which highlighted poor sales due almost entirely to the late delivery of new shirts from the shirt suppliers. Additionally, we will look to diversify our stock, incorporating hats, beer coolers with straps and skirts, should we be able to source these products at an affordable price. TW will investigate.

On-on Bars Report: As low season hits, attendances at on on bars are as expected lower, but last time at Nicky’s there was a huge differential with less than 12 hashers attending for food. Decisions on future rotas will be made via communication thru emails.

Upcoming Special Runs:
• The Norwegian Run, hares preparing food sponsored by the club (5000 baht), all in order.
• The Betty Boop Run will once again see the On On bar changed to Monta Burger Bar in Rhompo, adjacent to our A site for the day. Normal rules regarding free runs for cross dressing hashers will apply.

Other Business:
• TW proposed changes to the membership criteria, to make membership worth more but slightly harder to achieve, to this end the following proposal was unanimously accepted by the committee. ‘Membership of PH3 should be awarded after 25 runs plus 2 hared runs and not automatically afforded to virgins’. Current membership status of members will not be affected. Consideration will be made to giving a membership pack when new members join the club. It is anticipated that in the future free events and those heavily subsidised by the club (such as beach parties, boat trips etc) will attract an appropriate fee from non-members.
• TW led another discussion on awards and the following proposal was unanimously agreed by the committee; ‘Awards will not be made to members who have not hared in the relevant qualifying period, and awards will not be give to non-members’. The relevant qualifying period is such, for the award of a 100 run shirt, one hared run between 50 and 100 runs, for all other run anniversary shirts (in increments of 100) 2 hared runs must be completed. It was hoped that these proposals may encourage more volunteers to hare. Additionally, we will try to organise Virgin Hare runs several times a year where one experienced hare will take virgin or inexperienced hares under their wing, again to make more hares available in the long term.
• DL procured 50 PH3 pens and these will be used as gifts for scribes and others at the discretion of the GM. Thanks to DL for this work.
• BH enquired if there was a list of A sites that afforded shelter, and was advised not, as conditions at A sites change with regularity and would be too time consuming to keep updated.
• BW commented that he had concerns regarding our protocols regarding lost hashers and suggested using the hares as ‘Sweepers’ but this has previously been considered and deemed as impractical especially for hashers who were lost, i.e. not on paper trail. BW also noted that he felt there was some inappropriate behaviour in the circle several weeks ago, but accepted that this matter had been dealt with earlier.
